Assistant to the Head of the Training, Schooling and Student Life Department (M/F)

ENSA Paris-la Villette is recruiting an assistant (M/F) for the department of training organization, schooling and student life.

The Deputy Head of Department (M/F) is responsible for the following tasks in particular:

Operational department coordination

  • Support the manager in organizing and coordinating the department’s activities;
  • Act as a functional link between the department’s agents, without hierarchical supervision;
  • Contribute to the prioritization and monitoring of activities in conjunction with the manager;
  • Coordinate agents’ activities during key management periods (admissions, administrative and pedagogical registrations, exams, juries).

Administrative management of training offer

  • Contribute to the administrative management of training courses (Bachelor’s, Master’s, HMONP, continuing education);
  • Ensure the follow-up and updating of teaching models and their translation into school management tools;
  • Participate in the organization and implementation of teaching schedules and timetables;
  • Participate in entering and monitoring teacher assignments in Taiga.

Organization of studies and school campaigns

  • Coordinate operations linked to annual campaigns: admissions procedures, administrative and pedagogical registrations, examinations, juries, diplomas, etc;
  • Secure procedures and make schooling data more reliable;
  • Prepare and participate in pedagogical commissions (end of semester, end of rights, etc.) and regulatory juries (end of year, end of cycle, etc.), coordinating the collection of the necessary data from the department’s agents;
  • Support agents in preparing and carrying out these operations.

Service quality and customer relations

  • Contribute to improving the welcome, information and support offered to students;
  • Participate in the harmonization of practices within the department;
  • Design and develop tools for monitoring students (success, special status, end of rights, exclusions, etc.);
  • Participate in the production of data and the response to surveys (notably ministerial) relating to schooling and student life.

Participation in bodies and working groups

  • Prepare and take part in the school’s training and student life committees, in particular the CFVE (Commission des formations et de la vie étudiante – Training and Student Life Committee): prepare responses relating to schooling;
  • Participate in steering committees (COPIL health and student life) and thematic working groups (admissions procedures, calendars, timetables, etc.);
  • Contribute to the preparation of files and the follow-up of actions resulting from these bodies.
